Where AI can support administrative specialist work
A site manager can turn their own notes into a draft report. A property manager can identify missing details in a damage notification and prepare a follow-up. Bounded tasks like these are easier to assess than immediate automation of an entire business.
From site notes to a traceable action list
A report draft should separate observations, decisions and unresolved actions. Supply approved notes and a structure: project, date, participants, observation, action, owner and agreed deadline. If ownership is missing, leave it open. AI should not turn a mention into a binding instruction.
Compare quotations for the same scope of work
For quotation comparison, use a table of service item, quantity, unit, exclusions and source passage. Check that scope is genuinely comparable. A lower total without that distinction is not a sound comparison. Technical suitability, standards and contractual consequences remain matters for responsible specialists.
Ask for missing quantities and unclear exclusions to be listed as questions. If one quotation says “disposal included” and the other says nothing about disposal, the entry should read “disposal not specified – clarify”, not “included”.
Prepare tenant enquiries without overlooking urgency
In property management, an assistant can extract the property, unit, contact route and reported issue from a tenant email into a work queue. The draft reply asks for missing details, such as the affected room or when the problem started. “Heating not working” remains a reported observation, not a confirmed diagnosis. Urgent or unclear reports go to the person designated to handle them.
Test fictional reports with incomplete addresses, several properties in one message or an unclear description. Also check that customer information comes from the correct property record. Begin with drafts and a work queue; automatically ordering contractor work is an additional step with its own permissions and approvals.
Requirements and limits
Check standards, deadlines and binding correspondence against the correct source material. Establish permissions and available interfaces to industry software. Measure actual time saved including necessary rework.
Which documents produce which working output?
Scroll the table sideways if needed.
| Documents | Reviewable output | Decision still required |
|---|---|---|
| Site meeting notes and existing action list | Draft report with observations, decisions, actions and source references; missing owners or deadlines remain open | Site manager resolves missing details and confirms the report. |
| Supplier quotations for the same trade and the requested scope of work | Comparison of item, quantity, unit, price, exclusions and source reference; uncertainties listed as questions | Specialist assesses comparability and technical suitability; authorised person selects the supplier. |
| Tenant email and approved property details | Work-queue entry with property, unit and issue, plus a draft reply requesting missing details | Property manager checks assignment, urgency and next actions. |
